Job Vacancy: Front Desk Officer

Location: Abuja

Responsibilities and Duties of a Front Desk Officer
Administrative Functions:

  • Answer and redirect all incoming calls to the appropriate unit; take and relay messages to the appropriate channel.
  • Maintain visitors register
  • Maintain an accurate vehicle movement schedule
  • Ensure venues for in-house meetings, training, and other gatherings are ready.
  • Perform an inventory of office supplies and order what is needed.
  • Oversee sorting and distribution of incoming and outgoing mail
  • Ensure all reported equipment or infrastructural breakdowns are fixed or attended to within 24 hours.
  • Maintain a logbook of maintenance that accurately captures all information.

Clerical Roles / Duties:

  • Greet clients and set a positive office atmosphere, act as Tradeland ambassador, and ensure an orderly, welcoming, and professional appearance in the reception area.
  • Receive and distribute correspondence to appropriate staff; maintain the updated file.
  • Manage the booking of meeting rooms/ Venues
  • Daily Inspection of common areas and facilities.

Human Resources Support:

  • Support HR Manager in Recruitment processes.
  • Support Performance Management System (appraisals)
  • Update and manage staff leave database.
  • Support Onboarding and exit interviews for staff.
  • Staff monthly meeting scheduling

Qualifications & Skills:

  • Bachelor’s Degree in a relevant field
  • 1 – 3 years of Administration experience in a multinational business environment
  • Excellent organizational and multitasking skills, ability to prioritize, and comfortable working independently
  • Oral and written communication skills
  • Attention to detail
  • Ability to effectively use and maintain office equipment.
  • A high degree of computer literacy (E-mail, Internet, etc.) and knowledge of MS Word, MS Excel, MS PowerPoint.
  • Relevant experience in an office setting, preferably in an administrative or clerical role
